Starting January 5, 2026, the University of Economics Ho Chi Minh City (UEH) has officially launched a series of new technological utilities into simultaneous operation, marking a significant step forward in its comprehensive digital transformation roadmap. This initiative is aimed at building a smart university model centered on learners, faculty, and staff.

These updates not only modernize administrative, operational processes and enhance internal work efficiency but also significantly improve the learning, living, and interactive experiences across the entire UEH ecosystem.

SmartOffice – A New Generation Work and Document Management Platform

A key highlight is the official launch of the SmartOffice.ueh.edu.vn system, which replaces the current E-Office. This platform enables the end-to-end processing of electronic document signing and issuance, task assignment and directives from management, and enhanced collaboration among units and individuals. 

UEH has already conducted comprehensive training sessions on the system for all staff and employees since late December 2025.

Personalized Academic Information on the LMS

In training, UEH continues to enhance its Learning Management System (LMS) with a personalized information dissemination feature. This function allows lecturers to send private notifications to individual learners, ensuring that each student can only view their own information. 

This is particularly useful for publishing in-course assessment scores, facilitating private review and discussion, thereby ensuring confidentiality and improving the quality of academic interaction.

sendemail.ueh.edu.vn System Updated with Personalized Image Feature

The sendemail.ueh.edu.vn system has also been updated with a feature for sending personalized emails that include images. Administrative staff can design image content directly in Word and then merge data to send bulk emails quickly and accurately. 

This is ideal for sending invitations, certificates, and other official documents, helping to standardize processes, save time and increase work efficiency. Units using it require authorization from the UEH Infrastructure Administration Board.

AI Cameras at Dormitories – Enhancing Security and Convenience

UEH has installed AI cameras integrated with security gates and dormitory management software. Resident students, UEH staff, and registered external personnel working at UEH campuses can now authenticate their faces online at https://face.ueh.edu.vn . 

Once approved, users can pass through security gates at the dormitories without stopping, eliminating the need for cards or other devices. In the coming time, UEH will continue to expand this feature to other areas on campus.

Upgraded Work and Teaching Confirmation Systems

The work confirmation function for UEH staff has been updated with several new utilities, including a monthly work dashboard, a feature for registering reasons for internal or external business trips, and allowing unit leaders to extract reports for their assigned units.

Teaching Confirmation on the UEHer App

The teaching confirmation feature is now available on the UEHer App. When accessing their personal work schedule, the week's teaching schedule automatically displays, lecturers can confirm their teaching sessions with just a few simple taps, even for specialized subjects like Physical Education or extracurricular activities.

Bulk Signing with VGCA USB Token – Optimizing Document Processing

Digital signatures issued by VGCA in USB form are currently only usable on the Windows operating system and are applied to certain types of documents that require direct signing on this device. For cases requiring signing multiple files at once, such as transcripts, diplomas, or certificates, users can perform batch digital signing following UEH-provided guidelines.

UEH Wi-Fi Technical Update – Enhanced Security and Convenience

In response to technical changes from Google regarding browser security standards, UEH has updated its Wi-Fi login mechanism. Users are now required to authenticate with their UEH-issued account; those using email will authenticate via an OTP code sent to their UEH email. 

This solution allows users to access their UEH email to receive the OTP even before full Wi-Fi authentication, thereby strengthening network security across the entire system.

The simultaneous rollout of these technological utilities at the start of 2026 demonstrates UEH's consistent efforts in its digital transformation strategy toward a modern and sustainable smart university model. Beyond investing in technological infrastructure, UEH also focuses on training, guiding, and partnering with its learners and staff to ensure they can adapt to and effectively utilize these digital platforms.

This is a crucial foundation for UEH to continue enhancing the quality of its university governance, training, research, and community service in an era of higher education undergoing strong transformation under the impact of digital technology.

UEH's Digital Transformation Strategy

"University digital transformation is not a technology project but a comprehensive process of renewing the university model in the digital age." With this mindset, UEH has developed a systematic 10-year digital transformation roadmap consisting of two consecutive and strategically consistent phases.

Phase 2020 - 2025: UEH implemented digital transformation based on the Digital Maturity Framework for Higher Education Institutions (DMFHEI), focusing on building a foundation in infrastructure, data, and digital governance.

Phase 2026 - 2030: UEH will upgrade and expand based on the UK's JISC Digital Transformation Assessment Framework, one of the most reputable international benchmarks today. The university will also implement six core pillars for its 2026–2030 digital transformation strategy:

  • Organisational digital culture:Building digital mindset, digital leadership, organizational change capacity, and commitment from all levels.
  • Knowledge creation and innovation: Promoting research, digital vision, collaboration, and innovative activities.
  • Knowledge development: Integrating digital transformation into curricula, teaching-learning methods, assessment, and enhancing learner experience.
  • Knowledge management and use: Optimizing data, information, organizational intelligence management, and data-driven decision-making.
  • Knowledge exchange and partnerships: Connecting partner networks within and outside UEH, promoting knowledge exchange, and building a digital academic community.
  • Digital and physical infrastructure:  Developing technology systems, integrated digital-physical spaces, and ensuring information security-safety.

This strategy creates a three-dimensional impact across the University, Faculty, and Students:

  • At the university level: Consistent, transparent, and real-time data-driven operations; development of a smart university model; and optimized resource allocation.
  • At the student level: A personalized learning journey, available anytime, anywhere, on any device, supported by AI and seamless services, leading to more effective learning and faster graduation.
  • At the faculty level: Reduced administrative workload, allowing for a greater focus on teaching, research, and innovation, supported by synchronized infrastructure and data.

Not only implemented internally, UEH also freely transfers its online learning system, supporting high schools and localities in their digital transformation journey; actively participates in international projects such as Erasmus+ Digital Move, Ulysseus R&I to disseminate the digital education model to the region and the world.
